What we collect

We collect only what we need to respond to enquiries and deliver our services.

  • Enquiry details — your name, company, email address, sector and the message you send us through the contact form or by email.
  • Commercial contact data — the contact details of people we work with at customer, supplier and partner organisations.
  • Technical data — limited information your browser sends when you visit, such as approximate location, device type and pages viewed, where analytics are in use.

We do not knowingly collect special category data through this website, and you should not send it to us via the contact form.

Why we use it, and our lawful basis

  • To respond to your enquiry — legitimate interests, and steps taken at your request prior to entering a contract.
  • To deliver and support our services — performance of a contract.
  • To meet legal and regulatory duties — legal obligation.
  • To improve the website — legitimate interests, or consent where cookies requiring consent are used.

Site monitoring data

Where we deliver personnel tracking, CCTV or AI vision services, the customer operating the site is normally the data controller for the personal data those systems process, and we act as processor under a written agreement. Workers should refer to their employer's own privacy notice for details of how that monitoring is carried out and justified.

Sharing

We do not sell personal data. We share it only with service providers who help us operate (for example hosting, email and analytics providers), with professional advisers, and where we are required to do so by law. Providers act on our instructions under contract.

How long we keep it

Enquiries that do not lead to a commercial relationship are retained for [retention period]. Records relating to contracts are kept for [retention period] to meet legal, tax and warranty obligations. We delete or anonymise data once it is no longer needed.

Cookies

This website uses cookies strictly necessary for it to function. Where we add analytics or marketing cookies we will ask for your consent first and you will be able to withdraw it at any time.

Your rights

Under UK GDPR you have the right to access your personal data, to have inaccurate data corrected, to request erasure, to restrict or object to processing, and to data portability. Where processing is based on consent, you may withdraw it at any time.

To exercise any of these rights, email enquiries@smartis.uk. We will respond within one month. If you are unhappy with our response you may complain to the Information Commissioner's Office at ico.org.uk.

Security

We apply technical and organisational measures appropriate to the risk, including encryption in transit, role-based access control and audit logging. No system is completely secure, but we work to ISO 27001-aligned practices and review our controls regularly.

Changes

We may update this policy from time to time. The date at the top shows when it was last revised, and material changes will be highlighted on this page.
